Rent log tracking payments for a duplex

How to Track Rent Payments: A Simple System for Small Landlords

To track rent payments, give every unit one row per month that shows the rent due, each payment received with its date and method, any late fee, and the balance still owed. Check it on the same days each month, give receipts for cash, and keep rent in its own bank account. For a few units this takes about 15 minutes a month in a spreadsheet.

What do you need to record for each payment?

FieldWhy it matters
Unit and tenantSo every payment lands on the right account
Month the rent is forA payment on 11/02 may still be for October
Amount dueRent plus any fees from the lease
Date receivedDecides whether it was late
Amount receivedShows partial payments clearly
MethodCheck number, Zelle, ACH, money order or cash
Late feeOnly if your lease and state law allow it
BalanceWhat is still owed after this payment

The balance column is the one that saves you. When a tenant, a court or a housing agency asks what is owed, you can answer in seconds with a tenant ledger.

How to set up your rent tracker in 5 steps

  1. List your units. One line for each door, such as 1418 Elm St Unit A and Unit B.
  2. Add tenants and leases. Monthly rent, due date, grace period and late fee from each lease.
  3. Open a separate bank account for rent. Ask tenants to pay only into it. Your bank statement becomes a second record.
  4. Pick the payment methods you accept and write them in the lease.
  5. Create the rows for the year. Our template creates one row per unit per month and marks each one Paid, Paid late, Partial, Unpaid or Vacant.

Zelle or bank transferAsk tenants to add the unit and month in the memo
ACH through a rent appExport the payment report each month
CheckRecord the check number, deposit within a few days
Money orderCopy the serial number before you deposit it
CashAlways give a written receipt. Some states, such as New York and Texas, require one

Example: one month for a duplex

James Carter owns a duplex. Rent is $1,350 for each unit, due on the 1st, with a 5 day grace period and a $50 late fee in the lease. In October 2026:

DateUnitEntryChargePaymentBalance
10/01/2026AOctober rent$1,350.00$1,350.00
10/01/2026AZelle payment$1,350.00$0.00
10/01/2026BOctober rent$1,350.00$1,350.00
10/03/2026BPartial payment, check #2214$900.00$450.00
10/07/2026BLate fee (after grace period)$50.00$500.00
10/12/2026BZelle payment$450.00$50.00

At a glance James can see that Unit A is paid and Unit B still owes $50. Before he accepted the partial payment he checked the rules in our partial rent payment guide, because in some states accepting part of the rent can affect an eviction.

When should you switch to rent software?

A spreadsheet works well for small landlords. Consider an app if most tenants want to pay by card, you want automatic reminders, or you keep forgetting to enter payments. Our Stessa vs TurboTenant vs Baselane comparison shows the real fees.

Late fee and receipt rules differ by state and city. Check your local rules before you charge a fee or refuse a payment.

Frequently asked questions

What is the easiest way to track rent payments?

For a small landlord, a spreadsheet with one row per unit per month and a running balance is the easiest and cheapest way. Pair it with a separate bank account for rent.

Should I keep a separate bank account for rent?

Yes. It makes every payment easy to find, keeps rental money out of your personal spending and makes tax time much simpler.

How do I track a partial rent payment?

Enter the full rent as the charge, the partial amount as a payment, and let the balance show what is still owed. Check your state rules before accepting it.

Do I have to give receipts for rent?

Some states require receipts for cash payments, and some tenants ask for them. Giving a receipt for every cash or money order payment protects both of you.

How long should I keep rent records?

Keep them at least as long as you keep the tax return they support, generally 3 years after filing, and longer if a dispute is possible.
